The Goal:

To provide a diverse array of services and goods for the brethren and to allow OTO bodies to earn funds to improve the quality of life for their members. We encourage OTO bodies that have goods and services they wish to sell to come forth and vend at the conference. Non-members of the OTO are allowed to merchant at this event. Vendors must not compete with other vendor sales.  We encourage unique products and services.  Vending space is limited; we will be approving vendors on a FIRST COME FIRST SERVED basis. Standards screening will apply. Quality of goods is a must.

 

Fees:

All fees include vending space for 2 days (Sat. 8/13/05 and Sun. 8/14/05), 1 6-ft exhibit table, and 2 chairs. OTO bodies are welcome to share tables.  All completed applications must be returned to the vendor coordinator. The accepted vendors will be notified and will need to pay their fees 60 days before the date of engagement. Registering to attend the convention is separate from vending. You will need to register with both. Please enclose a general list of all goods to be sold and photographic samples (if available). We want to avoid duplication of goods and your booth has something unique to offer, so please provide as much detail as possible. The fee structure is as follows:

 

OTO Camps, Oases or Lodges: $20

OTO Members vending own wares: $30

Non-OTO Vendors: $50

 

Your Responsibilities:

You are responsible for your own construction, maintenance, and cleanup of your own vending space.  You are responsible for your vending items and adequate staffing of your table; NOTOCON will not take responsibility for items and cash lost or stolen. You will have an allotment of space, which includes a table, and 2 chairs. Additional tables are available for additional fees. If you care not to use the items we provide, please put that information on the vendor application form in the “other requirements” section.  If you have employees, you will need to register them to attend the event itself if they are OTO members.  Vendors who are OTO members must be active (dues current) and of good report, regardless of whether they attend the conference. Resigned and inactive OTO members may not vend as non-OTO vendors. If you are using non-OTO workers, they will not be allowed in the events. Set the stage and be aware that you are building your own reputation and networking your product globally. You are a part of the overall experience!

 

Necessities:

Change/Cash and Quality Goods, Display Props.

Phone lines for credit card authorizations are available at exorbitant costs. Instead, we recommend you bring a manual swipe “knucklebuster” for credit cards. Provide your own wrap, bags, shipping items for your wares. Conference attendees will be coming from long distances and will need some sort of protection for their purchases.  Wrap and bags can be purchased from the vending coordinator if necessary. Please let the vending coordinator know what you anticipate your needs to be. The packaging goods on hand will be limited.

 

Vending Schedule:

Set-Up (Pending hotel approval): Friday, August 12th, 4pm-8pm

 

Vending:

Saturday, August 13th: 10am-6pm

Sunday, August 14th: 10am-4pm

 

Peak vending times are during breaks between workshops and lunchtime.

 

Advertising:

NOTOCON will not be selling advertising space in the conference program, or providing vendors with contact lists of conference attendees. Vendors are welcome to have voluntary sign-ups sheets for their mailing lists at their vending table.

 

Shipping and Storage:

You must notify us in advance if you will be shipping boxes. Packages sent must labeled with your company name, conference name “OTO National Conference”, conference dates, number of items. Boxes may be shipped no more than 3 days prior to the event, maximum of 5 boxes per shipment. Boxes over 50 lbs will incur storage fee of $10.00 per box per day.

All boxes to be shipped out from the venue must be weighed, pre-paid and fixed with a UPS/Fed Ex shipping label. (the hotel will not take care of this for you). Additional storage charges will incur for boxes stored 3 days or more after the conference.

The hotel does not accept responsibility or liability for the delivery, security or condition of the packages.

 

Security:

Safety deposit boxes are available at the front desk to hotel guests. The vendor room will be locked during closing hours. NOTOCON has its own security during conference hours. Hotel security is available overnight. Since the vendor room is a communal space, it is not recommended to leave high-value items overnight in the vendor room. NOTOCON will not take responsibility for items and cash lost or stolen. The vendor room can be accessed after hours with the approval of the vendor coordinator, or the on-site conference chair.

 

Space Information:

A Full Space is a 6‘x3‘ table with 2 chairs and is big enough for a table display.

Rates:

Non OTO $50, OTO Members $30

OTO Members $20

The space is set up to allow up to 35 vendors, so there is plenty of room for quality goods.

Other Things Happening in the Vending Room:

Upon approval, Thelemic Authors will be doing book signing in the Vending Room (schedule to be announced). Also, there will be a networking table to provide information to the brethren concerning festivals, events, business card networking.
